A quote given without seeing the system is a guess. For anything beyond simple like-for-like, insist on a site visit. 'I'd rather give you an accurate price than a low estimate that climbs on the day.'

Always state whether the quote includes parts
Labour only? Labour and parts? Parts at cost plus margin? Be explicit. 'This quote includes all parts and labour unless otherwise stated' or 'Parts will be quoted separately once exact specifications are confirmed.' No grey areas.

Specify the boiler model and warranty clearly
If you're fitting a boiler, include the exact make, model, output, efficiency rating, and warranty length in the quote. Customers comparing quotes need to compare like-for-like — and this detail shows you know your product.

Flag what you cannot see
'Please note this quote is based on accessible pipework only. If any hidden runs are damaged, these will be quoted separately.' This is not a dodge — it's responsible. Put it in writing every time.

Include drain-down and reinstatement in the price
Customers don't know what a drain-down is. But they do know when they're charged for something they didn't expect. Include drain-down, refill, and system test in your quote total and state it clearly. No surprises.

Give a realistic timeline — not an optimistic one
Plumbing has unknowns. Fittings that won't come off. Pipework in different places than expected. Build buffer into your timeline and tell the customer why. Finishing on time beats finishing early after giving a three-day job and taking five.

Follow up within 48 hours of sending
Plumbing quotes are often urgent — a leak, a broken boiler, a dripping tap that's now a slow flood. The tradesperson who responds fastest and follows up professionally wins. The one who sends a quote and goes quiet often loses to someone slower but pushier.
